To organize your birdwatching tour, trekking adventure, permits, transportation, and accommodation, we may collect the following information:
- Your full name, nationality, gender, date of birth, and passport copy (required for travel permits and government documentation).
- Your email address, phone or WhatsApp number, home address, and emergency contact details.
- Travel information such as arrival and departure flight details, dietary preferences, medical conditions relevant to your trip, physical fitness information, and travel insurance details.
- Payment confirmation details, including bank transfer references. We do not store your complete credit card information.
How We Use Your Information
Your personal information is used only to provide the services you have requested. This may include:
- Processing trekking permits, national park entry permits, and restricted area permits.
- Booking hotels, domestic flights, transportation, and other travel services.
- Organizing birdwatching guides and trekking logistics.
- Contacting you regarding your booking, itinerary updates, invoices, or important travel information.
- Assisting with emergency medical support or rescue arrangements if required.
Sharing Your Information
We only share the information necessary to operate your trip with trusted organizations such as:
- Government authorities responsible for permits.
- Domestic airlines.
- Hotels and lodges.
- Transportation providers.
- Licensed local guides and tourism partners.
We never sell, rent, or share your personal information for advertising or marketing purposes.
Data Security
We take reasonable administrative and technical measures to protect your personal information. Your records are stored securely and accessed only by authorized staff.
Booking Terms & Cancellation Policy
Booking & Payment
To confirm your booking, a 20% non-refundable deposit of the total tour cost is required.
The remaining 80% balance can be paid by bank transfer before your arrival in Nepal or upon arrival in Kathmandu, before the trip begins. You can pay by bank transfer, cash (USD, EUR, or NPR), or other accepted payment methods.
For tours that include destinations such as Bhutan or Tibet, full payment must be completed at least 30 days before departure due to advance permit and reservation requirements.
Cancellation Policy
If you need to cancel your trip, please notify us in writing by email. Cancellation charges are based on the date we receive your written request.

Government Permits & Flight Tickets
Please note that government permits, national park entrance fees, domestic flight tickets, and other services issued in your name are generally non-refundable, regardless of the cancellation date, as these are governed by government and airline policies.
Trip Postponement
We understand that unexpected situations can occur.
If you are unable to travel due to personal emergencies, illness, or flight changes, you may request to postpone your trip.
To qualify:
- Written notice must be received at least 20 days before departure.
- Your booking can be transferred to another traveler or rescheduled within one year, subject to availability.
- A USD 100 per person administrative fee, along with any additional costs such as permit updates or airline change fees, may apply.
Cancellation by the Company
Although rare, circumstances beyond our control—such as natural disasters, severe weather, landslides, political unrest, pandemics, or government travel restrictions—may require us to cancel or modify a trip.
In such situations, we will offer one of the following options:
- An alternative itinerary of similar value.
- Credit toward a future trip.
- A refund of all recoverable payments made, less any non-refundable expenses already paid to third parties, such as permits, airline tickets, or bank charges.
Early Departure or Unused Services
No refunds will be provided for accommodation, meals, transportation, guide services, permits, or any other unused services if you:
- Choose to leave the trip early.
- Become ill.
- Experience altitude sickness.
- Decide not to continue the itinerary.
- Are unable to participate due to personal reasons or violation of local laws.
Travel Insurance
Comprehensive travel insurance is mandatory for all clients participating in trekking, remote birdwatching, wildlife safaris, or other adventure activities.
Your insurance policy should include coverage for:
- Emergency medical treatment.
- Helicopter rescue and evacuation.
- Trip cancellation or interruption.
- Lost or delayed baggage.
- Personal accidents.
We strongly recommend purchasing insurance before traveling to Nepal.
