Booking & Payment Terms

We aim to make the booking process simple and transparent for every guest joining our birdwatching tours and trekking trips in Nepal.

Booking Deposit

A 20% deposit of the total trip cost is required to confirm your booking.

The deposit allows us to secure the necessary accommodation, transportation, guides, permits, and other travel arrangements for your trip.

Remaining Payment

The remaining 80% balance can be paid:

• By bank transfer before arrival in Nepal, or
• Upon arrival in Kathmandu, before the trip begins.

We accept payment by bank transfer, cash in USD, EUR, or NPR, and other payment methods agreed with our office.

Bhutan and Tibet Trips

For trips that include Bhutan or Tibet, full payment may be required at least 30 days before departure because advance permits, accommodation, transportation, and other arrangements may need to be confirmed in advance.

Cancellation Policy

We understand that travel plans can sometimes change. If you need to cancel your birdwatching tour, trekking trip, wildlife tour, or other travel arrangement, please notify us in writing by email as soon as possible.

Cancellation charges are calculated according to the date we receive your written cancellation request.

Cancellation Charges

Government Permits, Flights & Other Non-Refundable Services

Government permits, national park entrance fees, conservation area permits, domestic flight tickets, hotel bookings, and other services purchased or issued in your name may be non-refundable, depending on the policies of the relevant government authority or service provider.

Any refund for such services will depend on the amount recoverable from the respective provider.

Trip Postponement Policy

If you are unable to travel because of an unexpected personal emergency, illness, flight change, or another genuine reason, you may request to postpone your trip.

To request a postponement:

• Written notice should be provided at least 20 days before departure.
• The trip may be rescheduled within one year, subject to availability.
• A USD 100 per-person administrative fee may apply.
• Any additional costs, including permit changes, airline fees, hotel charges, or other supplier costs, may also apply.

We recommend contacting us as early as possible if you need to change your travel dates.

Cancellation or Changes by Our Company

Although we make every effort to operate trips as planned, circumstances beyond our reasonable control may require us to change, postpone, or cancel a trip.

Such circumstances may include:

• Natural disasters
• Severe weather
• Landslides
• Political unrest
• Pandemics
• Government travel restrictions
• Major transportation disruptions
• Other unforeseen circumstances affecting safe travel

When reasonably possible, we will offer one of the following options:

• An alternative itinerary of similar value.
• Credit toward a future trip.
• A refund of recoverable payments after deducting non-refundable expenses already paid to third parties.

Non-refundable expenses may include permits, airline tickets, accommodation charges, transportation costs, bank charges, or other services already purchased.

Guest safety is always our highest priority.

Early Departure & Unused Services

If a guest chooses to leave a trip early or does not use part of the services included in the itinerary, the unused portion is generally non-refundable.

This may include accommodation, meals, transportation, guide services, permits, activities, or other prepaid services.

No refund will normally be provided if a guest:

• Leaves the trip early.
• Becomes ill during the trip.
• Experiences altitude sickness.
• Decides not to continue the itinerary.
• Is unable to participate for personal reasons.
• Does not follow reasonable safety instructions.
• Is unable to participate because of violation of local laws.

Travel Insurance

We strongly recommend that every guest travelling with Nepal Bird Watching Tour and Treks Pvt. Ltd. purchase comprehensive travel insurance before arriving in Nepal.

For trekking, remote birdwatching, wildlife safaris, and adventure travel, your insurance should ideally cover:

• Emergency medical treatment.
• Emergency helicopter rescue and evacuation.
• Trip cancellation or interruption.
• Personal accident.
• Lost or delayed baggage.
• Other unexpected travel-related expenses.

For high-altitude trekking and remote destinations, adequate helicopter evacuation and emergency medical coverage is particularly important.
